ASSISTANT BOX OFFICE MANAGER

Florida Studio Theatre, a professional LORT D regional theatre in Sarasota, FL is seeking an Assistant Box Office Manager for its 5-theatre complex.

 

Duties include, but are not limited to:

·         Ticket sales

·         Communication and enforcement of ticketing policies

·         Daily analysis of ticket sales

·         Constant communication with other departments

·         Opening and closing the box office

·         Creating and managing holds

·         Reconciling box office receipts

·         Hiring, training, scheduling, and supervision of Front of House staff, including but not limited to Box Office, House Managers, Concessions and parking

·         House Management

 

The right candidate must have excellent communication skills, a positive and outgoing personality and be able to work in a fast-paced environment. Must be prompt, reliable, and detail oriented and have excellent computer skills.

Must be available to work days, evening, and/or weekends. Minimum of two years management experience strongly preferred. Knowledge of the Tessitura system is preferred. Must be able to work well independently and to manage, train, and motivate others.

Starting salary: $38,000-$43,000/yr

DEVELOPMENT ASSISTANT

Ideal Start Date:  As soon as possible.

 Florida Studio Theatre, a professional LORT D regional Theatre in Sarasota, FL is seeking qualified applicants for the position of Development Assistant, office or customer service experience preferred. This employee will provide clerical support for the theatre’s fundraising department including answering phones, data entry, preparing reports, and special events related activities.  Some projects may occur during the evening or on weekends.

Position is predominately Monday to Friday with some weekend availability. 

Strong computer, organizational, and clerical skills are a must. 

Reporting to the Development Manager, this is a full-time position that is ideal for theatre and arts administration professionals who are somewhat early in their career and looking for excellent growth opportunities in non-profit work, communications, and business in a professional regional theatre setting.


JOB DESCRIPTION

·         Process daily donations, acknowledgement letters, donation report forms, and tax receipts.

·         Review the New Contributions report daily to ensure accuracy in appeal, campaign, and designation in collaboration with the Development Manager.

·         Maintain foundation, corporation, and individual/household donor files, updating patron records, as needed.

·         Draft solicitation letters for large direct mail initiatives (e.g., Become-A-Friend, Resub, Playbill Upgrades).

·         Oversee list extractions, refine donor lists, print personalized letters, process lists through SmartAddresser, and manage USPS Bulk Mail drop-offs; Serve as the primary point of contact for inquiries related to direct mail campaigns.

·         Answer phones, process payments, and provide customer service to theatre patrons.

·         Assist in the planning and execution of special events, receptions, and donor activities.

·         Design donor communications and materials via Adobe Design, as needed.  

·         Provide backup support by making donor phone calls on Mondays when the Associate and Assistant are off, assist with donor lunches when other staff are unavailable, support renewal campaigns, and offer Box Office assistance as requested.

·         Other duties as assigned.

 

REQUIRED SKILLS

·         Effective written communication skills.

·         MS 365 (Word, Excel, PowerPoint, & SharePoint) .

·         Able to lift and move trays and boxes, up to 40 lbs.

 

PREFERRED SKILLS

·         Familiarity with Database Software, such as Tessitura, a plus.

·         Experience working in Adobe Suite (InDesign & Illustrator).

·         Acquainted with direct mail campaigns and marketing technologies (SmartAddresser).

 

A valid driver’s license is required and an automobile for pickups and deliveries.

 

Salary range: annually $36,000 - $39,000

FACILITIES TECHNICIAN

Florida Studio Theatre in Sarasota seeks a highly skilled Facilities Technician. The full-time work is primarily repair and scheduled preventative maintenance of our campus which consists of 5 stages and 18 artist residencies, followed by projects as needed.

Monday - Friday work week, primarily 8am-12pm, with availability to come in on weekends if needed to address any Facilities related issues.

Requirements:

  • Ability to lift 50lb.
  • Conduct regular inspections of facilities to identify maintenance needs, safety hazards, and landscaping requirements.
  • Perform repairs and maintenance tasks, such as painting, plumbing, electrical, carpentry, and HVAC system maintenance.
  • Perform landscaping duties.
  • Maintain all areas safe and clean by sweeping, mopping, and pressure washing.
  • Monitor and replenish supplies.
  • Janitorial responsibilities.
  • Follow safety protocols and guidelines to ensure a safe work environment for guests and employees.
  • Assist with special tasks and projects.
  • Other duties as assigned.

Qualifications

  • Previous experience in facilities maintenance and landscaping.
  • Knowledge of basic maintenance and repair techniques, as well as landscaping principles and practices.
  • Ability to operate equipment and tools safely and effectively. Must have own tools.
  • Must be available to work weekends and holidays.
  • Excellent communication and teamwork skills.
  • Must be able to stand and walk for long periods of time, and lift and carry up to 30 lbs.
  • Must be able to work in an indoor and outdoor environment.
  • Basic understanding of CCMS systems

GRANT WRITER

Florida Studio Theatre is seeking a skilled Grant Writer to join our dynamic fundraising team. The Grant Writer will be responsible for developing proposals and securing funding to support FST’s major theatre and education programs. Reporting to the Development Manager, this position serves as a key member of the fundraising team. 

 

RESPONSIBILITIES

·         Identify and pursue new and existing grant opportunities, ensuring the timely submission of applications and reports.

·         Manage a comprehensive 52-week grants calendar.

·         Oversee active grants, including reporting, payment processing, thank-you letters, and maintaining accurate grantor contact information.

·         Serve as the primary point of contact for institutional and foundation donors, alongside the Development Manager.

·         Represent FST at the monthly Florida Cultural Alliance Arts Advocacy Meetings.

·         Update FST’s Giving Partner and Candid profiles quarterly and manage the annual SAM.gov registration.

·         Coordinate with the Marketing team to ensure proper recognition for institutional supporters and manage ticketing for institutional needs.

 

REQUIREMENTS:

·         Minimum of one year of experience in fundraising, grant writing, or prospect research.

·         Experience identifying and researching corporate and foundation prospects.

·         Ability to compile, report, and analyze information effectively.

·         Excellent writing, communication, and interpersonal skills.

·         Proven ability to manage multiple priorities and meet deadlines independently.

·         Experience working in theatre or a related field is a plus.

 

Salary range: $38,000-$45,000/yr

PART-TIME ASSISTANT HOUSE MANAGER

Florida Studio Theatre, a professional LORT D regional Theatre with five active theatre spaces, located in downtown Sarasota, FL is seeking a Part Time Assistant House Manager to provide excellent customer service to theatre. This position will serve as a House Manager for all 5 of our theatre spaces. This is a fast-paced position. Candidates must have good communication skills with a positive, friendly, and outgoing personality. Must be prompt, reliable, and detail oriented. Must be willing to work evenings and weekends. The amount of hours available is variable week to week depending on the needs of the theatre. 

Responsibilities include: 

  • Welcoming patrons and ensuring an excellent and safe patron experience while visiting one of our 5 theatres. 
  • Assist with patron relations and resolving issues promptly. 
  • Oversee and train the events ushers  
  • Complete and send nightly reports and reconciling tickets for the performances  
  • Maintaining a clean and organized theatre. 
  • Communicate with other nightly managers including Stage Managers, Box Office, and restaurant to ensure the smooth and efficient nightly operations. 
  • Maintain familiarity with subscription and single ticket marketing initiatives and Florida Studio Theatre events. 
  • Keep up a professional appearance in dress and attitude and have a general appreciation for and understanding of live theatre. 
  • Assist Concessions at night on an as needed basis. 
  • Ability to stand for an extended period and ability to lift up to 25 pounds

SEASONAL BOX OFFICE & FRONT OF HOUSE ASSISTANTS (PT)

Ideal Start Date: October 2024

Florida Studio Theatre, a professional LORT D regional Theatre with five active theatre spaces, located in downtown Sarasota, FL is seeking Seasonal Part Time Box Office Assistant and Front of House Assistants to provide excellent customer service to theatre. This is a fast-paced, high-volume Box Office that services all five of our theatre spaces and is open seven days a week. Candidates must have good communication skills with a positive, friendly, and outgoing personality. Must be willing and able to spend a majority of the time on the phones. Must be prompt, reliable, and detail oriented. Must have open and flexible availability and be willing to work a flexible schedule including but not limited to evenings and weekends. The amount of hours available is variable week to week depending on the needs of the theatre.

Responsibilities include:

  • Sell new subscriptions and single tickets for all FST performances, events, and some rentals as well as renew existing subscriptions - over the phone, in person, and via mail.
  • Provide helpful information for performances, pricing options, parking, directions, and seating information.
  • Assist with patron relations and resolve complex patron inquiries and complaints.
  • Maintain familiarity with subscription and single ticket marketing initiatives, donor benefits, and Florida Studio Theatre events and website.
  • Guide patrons though their online interactions when needed.
  • Keep up a professional appearance in dress and attitude, and have a general appreciation for and understanding of live theatre.
  • Assist with the maintenance of patron records; including but not limited to filing, and updating patron records.
  • Assist with House Management of our 5 theatre spaces on an as need basis. This includes but is not limited to oversight of the events ushers and patron load in, completing and sending nightly reports, reconciling tickets for the performances and basic cleaning and maintenance of the space.
